Changes to Microsoft Teams Meeting Attendance Report Retention

What’s changing?

If you organise meetings in Microsoft Teams and rely on attendance reports to track who attended, please be aware of an important upcoming change to Microsoft’s data retention policy.

Starting August 2025, Microsoft will enforce a one-year retention policy for Teams meeting attendance reports. Previously, these reports were retained indefinitely, allowing you to access attendance data from any past meeting you organised.

What you need to do

To retain access to attendance data for meetings created before November 1, 2024, we recommend the following:

  • Download your attendance reports manually via the Attendance tab in each meeting.
  • Please note: Bulk download is not available, so each report must be downloaded individually.

Key dates to remember

  • Meetings created before 1 November 2024: Attendance reports will remain accessible until late August 2025.
  • From August 2025 onward: Attendance reports will be automatically deleted one year after the meeting date.

To avoid losing important attendance data, we recommend reviewing and downloading any reports you may need well before the August 2025 deadline.
