Microsoft Whiteboard Storage Migration

What’s happening?

Action Required

Microsoft is moving all Whiteboard file storage to OneDrive to provide improved security and better revision history. Any older Whiteboard files created before the end of 2022 are still stored in Azure, and user action is required to migrate them.

Staff and pupils – what this means for you

  • If you’ve used Microsoft Whiteboard, you should open the app to trigger migration of any older boards.
  • After February 2026, any Whiteboards that have not been migrated will be permanently deleted and cannot be recovered.

How to migrate your boards

  • Open Whiteboard to automatically start the migration.
  • You can open the Whiteboard app on mobile devices, using a web browser or in Teams.
  • E.g. login to M365 Glow, click on Apps (Apps | M365 Copilot) and then All apps necessary and search for Whiteboard.

  • The migration will start automatically the next time you open Whiteboard in Microsoft Teams, your web browser, or the Windows app. You’ll see in‑app notifications showing when the migration starts, its progress, and when it’s complete.

  • Review your boards afterward to confirm everything moved correctly.
  • Report any issues within 90 days of migration completion using your local support routes.

Final reminder

Don’t risk losing work, please open your Whiteboard app before February 2026 if there are older whiteboards you want to keep.

  • In Teams Meetings
  • Using the Whiteboard App on devices
