Task based help

A wide range of tasks can be carried out in Glow. This page provides practical examples, help and frequently asked questions that will be built up over time.

Create, edit and collaborate on documents, live and online

Glow allows teachers and students to collaborate on documents online, meaning that groups can work together on shared or similar projects. Common spaces are available for gathering and storing information from a number of students, and teachers can collect, review and give feedback online.

In Office Online, you can simultaneously edit Word, Excel, PowerPoint or OneNote from your browser or desktop, and view edits from other people in real time.

SharePoint Online allows you to collaborate through lists, libraries, pages and other media while engaging in discussion through site feeds.

You can use Sway to create graphic presentations, share links with other users and collaborate in the creation of content in real time.

Planner allows groups of teachers and/or learners to work together to achieve common goals by organising, assigning and managing tasks. Planner also offers group members the functionality of O365 Groups.

O365 Groups brings together threaded email conversations, a shared calendar, shared file storage, and shared notebook. This quickly and easily allows groups of teachers and/or learners to work together.

Forms allows teachers and pupils to create quizzes, surveys and questionnaires that can be completed by other teachers and learners or members of the public.

Classroom Microsoft Teams provides a collaborative space to help distribute tasks and resources to pupils. Pupils can then update and return these materials or upload other evidence of learning to share with their teacher or fellow pupils. Teachers have a collated view of this evidence and can provide formative feedback from a single point.

Upload, embed and use different types of media content

You can upload media content, such as photographs and video, across Office 365 sites and access these from one location. Uploaded content can be embedded in O365 Video, Sway, Yammer, PowerPoint, Word, Excel, SharePoint Online and a range of other external services such as Glow Blogs.

Content in O365 Video allows transcoding of content so that uploaded videos are rendered in many different formats ensuring playback is customised for the viewing device. It also offers intelligent consumption of available bandwidth and a content delivery network to offer scale.

Sharing documents, libraries and sites

Glow users can share documents, libraries and sites with other users inside and outside of Glow to allow national collaboration and learning. This can be done using features of SharePoint, OneNote, O365 Groups, OneDrive, Yammer, Planner and Outlook email.

External sharing is currently turned off for these features but is being reviewed based on demand and is pending decision. Created content may be shared externally by email, while Sway and Forms allow full public sharing with control retained by the creator to amend or revoke this at any time.

Glow users have unlimited storage they can access from anywhere, at any time.

Creating and maintain e-portfolios, project websites and school websites

Glow users can set up and maintain a blog for the purposes of an e-portfolio or record of learning and achievement, with the ability to upload and attach various types of assets.

Students and teachers can share these blogs with other Glow users in order to gain feedback, and teachers can share them externally. This means that parents can be involved in learning and school life via public-facing class blogs or school websites.

A plugin is available within the Glow Blogs service allowing users to translate new and existing Glow Blogs into multiple languages, which can help with the modern languages curriculum.

Blog sites can also be created using Office 365 SharePoint and Sway. A separate Glow Blogs service based on WordPress is available within Glow.

Class management in a secure online space with the ability to create online classrooms

Online Classrooms allow teachers to share files, make announcements,  distribute, collect and grade assignments in a secure online environment anytime, anywhere.

They can be created using the Microsoft Office 365 Teams ‘classroom experiences functionality’ and are populated with student details provided via the school MIS system.

Create and maintain a website

Glow users can create their own websites for blogging, gathering learning content or any other teaching and learning use. The websites can be customised so that learners and educators can develop them over time and include a document library that can be shared amongst Glow users.

Create Wiki Sites to share information and collaborate on pages of content

This requirement is met by SharePoint Online Wiki sites. A separate Wiki service is also available within Glow provided by Wikispaces.

Please note: The Glow Wikis service is currently deprecated and will be removed from service in October 2017.


You can track your progress in given tasks from different areas. Planner allows you to set up task deadlines, checklists and status while SharePoint allows configuration of alerts and workflows. These can be used to automate common tasks such as adding to lists, sending email and requesting approval.

Post questions, updates or information on a national stage to enhance and expand learning outside of the school

Office 365 Yammer can be used to make posts to public groups that can be seen by all users of Yammer and potentially every learner and teacher in Scotland. This allows for fast and focused discussion of questions, ideas, problems and experiences, promoting better collaboration within and across schools.

Yammer groups can also be made private to a selection of members, or posts can be made in direct messages between users where more privacy is required. Newsfeeds are possible at a website level within SharePoint Online while O365 Groups offers the ability to discuss topics among group members.

Learning Communities are a great place to share resources, strengths, learning opportunities and professional intentions. They also provide access to the Professional Learning Catalogue detailing professional learning events.

Enabling networking opportunities and collaboration across all Glow users

Every Glow user has a profile in SharePoint Online and Yammer that is populated with details of the their role and school. This profile can be supplemented with details of interests and expertise and is visible to other users. This can help learners and teachers identify one another and collaborate based on common interests.

Creating and hosting online meetings and events with on-demand video playback

Teachers and educational partner organisations can create and host online meetings and events (web conferences), from a range of devices using the Glow Meet service. Functionality includes the ability to conduct real time conversations and Q&A sessions, and to stream audio and video content.  The service allows an event or meeting to be recorded for future access and playback by Glow users.

Bring experts into your classroom

From the National Museum of Scotland to the Scottish Book Trust, the Glow TV element of Glow Meet allows you to bring experts into your classroom, making it easy to engage a whole class with just one computer and a screen.

Save time and collaborate with online meetings

Skype for Business allows you to hold online meeting and includes the ability to share your desktop with other learners and teachers to demonstrate your work.


The Glow Connect site allows users to search across its contents, including searching within documents on the site. There are a number of search capabilities within the Glow Microsoft Office 365 components:

  • Yammer has a powerful search that will return Groups, Notes, Files, Topics, People and Conversations simultaneously that match a search term (link to help);
  • SharePoint Online allows searching either of the entire tenancy or focused on individual sites, with the option of filtering the results after searching. Search can be targeted at a great number of properties such as filename, title, contained text, tag, metadata, file type, people or site. Glow users can find useful resources others have shared (link to help);
  • Delve gives each user a personalised search experience with access to all of their own recently worked-on content, links to all activity of closest colleagues, and the ability to surface and present search results with personal relevance. Delve previews the searched content in ‘cards’ and also includes content added as links in Yammer. Delve allows users to pin content to Delve Boards for ease of content curation and future navigation (link to help);
  • WordPress Blogs and attachments within Glow Blogs can have search capabilities, the extent of which depends on the ‘theme’ that has been used to create the blog and what plug-ins have been activated in the blog (link to help).
